PAYMENT & REFUND POLICY

Overview

Our Payment & Refund Policy outlines deposit terms, refund eligibility, and tournament credit procedures for all Bases Loaded Baseball events.
This policy applies to all team registrations and governs how payments, cancellations, and credits are handled.

Payment Terms

Only full payment guarantees your spot in the tournament.

  • A $250 deposit is required to hold your team’s spot.

  • The deposit is fully refundable only if Bases Loaded Baseball cancels the event due to insufficient participation (fewer than three registered teams).

  • Once accepted, all remaining balances are due no later than 45 days prior to the tournament start date.

  • Failure to pay by the deadline may result in removal from the event without refund.

  • Payments are accepted by check or online via the registration platform.

Team Cancellations

  • Teams that withdraw more than 45 days before the tournament start date forfeit their deposit but will receive a credit for any remaining balance paid.

  • Teams that withdraw within 45 days of the start date are not eligible for a refund or credit, as scheduling, field, and staffing costs have already been incurred.

  • Cancellations must be submitted in writing via email to the Tournament Director.

Event Cancellations & Weather Policy

If a tournament is shortened or canceled due to weather, field conditions, or other circumstances beyond our control, refunds and credits will follow the Credit Policy outlined below.
Bases Loaded Baseball Tournaments, LLC reserves the right to modify schedules, shorten games, or adjust the tournament format as necessary to complete the event.

Unforeseen Circumstances

In the case of extreme weather events, facility issues, or other situations deemed outside the tournament’s control, the Tournament Committee will determine the best possible course of action for rescheduling or issuing credits.

CREDIT POLICY

3-Game Minimum Tournaments

  • Play 0 games: 100% credit (no refund)

  • Play 1 game: 50% credit (no refund)

  • Play 2 games: No refund

4-Game Minimum Tournaments

  • Play 0 games: 100% credit (no refund)

  • Play 1 game: 70% credit (no refund)

  • Play 2 games: 50% credit (no refund)

  • Play 3 games: No refund

Promotional Discounts

  • Promotional discounts applied during registration are non-refundable.

  • When a refund or credit is approved, the discounted portion will only be issued as a credit toward a future Bases Loaded Baseball event.

  • This ensures fairness and protects the integrity of promotional incentives.
